What kind of documentation is required for exporting goods?
The required documentation for exporting goods can vary based on the nature of the goods and the specific regulations of the exporting and importing countries. However, some of the most common documents include:
- Commercial invoice: This document details the goods being sold, the buyer and seller, and the terms of sale.
- Packing list: This is an itemized list of the contents of the shipment, including details such as weight, dimensions, and packaging type.
- Bill of lading (B/L): This serves as a contract between the owner of the goods and the carrier. There are two types, a straight bill of lading which is nonnegotiable and a negotiable or shipper’s order bill of lading.
- Export license: Some goods require an export license from the country of origin, especially for sensitive goods such as military equipment or technology.
- Certificate of origin (CO): This document certifies the country in which the goods were produced.
- Export declaration: This is a form provided to the government of the exporting country detailing what is being exported, to where, and its total value.

What are Incoterms and how do they affect my export process?
Incoterms, short for International Commercial Terms, are a set of rules published by the International Chamber of Commerce (ICC) which define the responsibilities of sellers and buyers in the transfer of goods in international trade. These terms clearly establish who is responsible for the cost and risk at each stage of the goods’ journey from the seller to the buyer.
The selection of appropriate Incoterms in your trade agreement can significantly affect the cost, risk, and logistics of your export process. For instance, under the term “EXW” (Ex Works), the seller has the least obligation – they only need to make the goods available at their premises. On the other hand, under “DDP” (Delivered Duty Paid), the seller assumes all responsibilities and costs, including delivering the goods and clearing for import at the destination.
